Notifications
Notifications tell you when something changes in your workspace. A task gets completed, an invoice is paid, a client signs a proposal, Plutio sends you an alert through one or more channels so you can act on it without checking every page manually.
Where notifications appear
Notifications reach you through three channels:
- In-app, the bell icon in the productivity bar shows a badge count for unread items. Click it to open the notification panel and see everything in one list.
- Email, some notification types send an email with a direct link to the relevant item. You control which types trigger emails from notification settings.
- Push, desktop and mobile push notifications surface alerts when the workspace isn't in focus. The Plutio mobile app needs notification permissions enabled on your device.
Task notifications
Plutio sends task notifications in these situations:
- Assigned to you, when someone assigns a task to you, you get an in-app, email, and push notification.
- Task completed, when a task you're assigned to or following is marked complete, all assignees and followers receive a notification. The email includes who completed it, the due date, and any custom field values.
- Mentioned in a description, an @mention in the task description triggers a notification to the mentioned person.
- Mentioned in a comment, an @mention in a task comment also triggers a separate notification.
- Overdue reminder, tasks past their due date send reminders to assignees and followers.
- Due date/ start date reminder, approaching deadlines trigger time-based reminders for assignees and followers. Reminders are only sent on the exact date/time when the task has a specific time set. For date-only tasks (no time), reminders are sent at your Send daily at hour set in notification settings.
- Created by email, when a task is created from an inbound email, the task group creator and the workspace owner receive a notification.
Project notifications
Project notifications cover:
- Added to project, when you're added as a contributor, you receive an in-app and email notification with the project name and a link.
- Status changed, when a project's status changes, contributors receive a notification. This toggle is off by default and can be enabled in notification settings.
- File uploaded, when someone uploads a file to a project, project contributors receive a notification. This toggle is off by default and can be enabled in notification settings.
Invoice and payment notifications
Invoice notifications include:
- Invoice viewed, when a client opens an invoice, you receive an in-app and push notification (no email for this event).
- Invoice paid, when a client pays an invoice, you receive an in-app notification, push notification, and email. The email is always sent regardless of your offline/always setting.
- Subscription payment failed, when a recurring invoice auto-charge fails, the client receives an email and in-app notification.
- Plutio billing failed, when a payment for your own Plutio subscription fails, the workspace owner receives an email and push notification.
- Payment receipt, a receipt email is sent to the client and the invoice creator when a payment is recorded. Delivery is forced regardless of notification toggles.
Proposal notifications
Proposal notifications include:
- Proposal viewed, when a client opens a proposal, you get an in-app and push notification (no email).
- Proposal signed, when a client accepts and signs, you get an in-app notification, push, and email. A signed PDF copy is also emailed to the signer.
- Proposal declined, when a client declines, the notification follows the same channels as signing.
Contract notifications
Contract notifications include:
- Contract viewed, when a client opens a contract, you get an in-app and push notification (no email).
- Contract signed, when a signee signs, you receive an in-app notification, push, and email. A signed PDF copy is emailed to the signer.
Conversation and comment notifications
Conversation and comment notifications include:
- New reply, when someone replies in a conversation you're part of, you receive a push notification. Email delivery depends on your per-conversation setting (all messages, mentions only, or none).
- Added to conversation, when you're added as a participant, you receive an email and push notification. No in-app bell notification is created for this event, check your email or push alerts.
- Conversation assigned, when a conversation is assigned to you, you receive an in-app, email, and push notification.
- Comment on a task or file, task and file comments notify participants through in-app, push, and email. Conversation messages, by contrast, are grouped into a single digest email every few minutes instead of sending one email per message.
- Reaction, when someone reacts to your comment, you receive a notification.
Form notifications
Form notifications include:
- Form viewed, when someone opens a public form, you get an in-app and push notification (no email for this event).
- Form submitted, when a response comes in, the notification channels (email and push) are controlled by the form's own notification settings rather than the global notification preferences page. There is no per-user toggle for form submissions in notification settings.
Calendar and scheduler notifications
Calendar and scheduler notifications include:
- Event invitation, when you're invited to a calendar event, you receive an email with the event details and an option to RSVP.
- Event updated or cancelled, all invitees receive an email when the organiser changes or cancels an event.
- RSVP response, when an invitee RSVPs, the event organiser receives a notification.
- Event reminder, a reminder is sent before the event start time for the creator and all participants.
- Booking created, when someone books a slot on your booking page, you receive a notification. The booker receives a confirmation email with an ICS calendar file.
- Booking cancelled, both the organiser and the booker are notified.
- Booking reminder, a reminder email is sent to the booker before the appointment.
Scheduler notification channels (email and push) are configured per booking page in the booking page settings, not in the global notification preferences.
Other notifications
- Invite accepted, when someone accepts a workspace invitation, the inviter is notified (if their Invite by me accepted toggle is on) and the workspace owner plus any co-owners are notified (if their Invite by others accepted toggle is on). Delivery is forced across email and push.
- Gmail shared, when a Gmail inbox is shared with you or unshared, you receive an in-app and push notification.
- New inbox email, when a new email arrives in a shared inbox group, members receive a push notification.
- Bulk action finished, when a bulk operation completes, you receive an in-app and push notification.
- Automation email, automations can send custom emails as an action. Recipients and content are defined inside the automation itself, not on the notification settings page.
Customising your notifications
Each team member controls their own notification preferences from Settings → Notifications. Changes take effect immediately and don't affect other team members. For the full setup guide, see notification settings.
Email digest
Instead of receiving individual emails for every notification, you can enable a digest email that bundles your workspace activity into a single scheduled email. Urgent items like invoice payments still send immediately, the digest groups lower-priority updates so your inbox stays manageable.
When a notification doesn't arrive
A notification can silently skip for several legitimate reasons. Work through these before assuming it's a bug:
- You performed the action yourself. Plutio never notifies you about your own activity on entities you own. If you sign your own proposal, view your own invoice, submit your own form, complete a task you're the assignee on, or comment in a conversation, you will not receive an in-app, email, or push notification for that event, even when every toggle is on. This also applies when you test as a client while staying logged in (same browser, same session). To test end-to-end, sign out or use an incognito window and sign in as the test client.
- Your workspace isn't active. If the workspace is suspended, cancelled, or otherwise not in an active state, Plutio stops sending email and push notifications for that workspace. In-app bells can still be created in the background but are typically unreachable because suspended workspaces block login.
- The toggle is off. Each notification follows a per-user toggle on notification settings. Turning off Proposal viewed suppresses every channel for that event, not just one.
- You're online and set to email-when-offline. If your email delivery is set to only when I'm offline and you're currently active in the workspace, email skips, the in-app and push notification still appear. Switch to always, even when online if you want email every time.
- The event is in-app only by design. Viewed events (invoice viewed, proposal viewed, contract viewed, form viewed) never send email. Only the signed/paid/submitted versions email you.
- Role visibility. Some toggles don't appear for client roles or other restricted roles, for example, Invite by others accepted only appears for the workspace owner and co-owners.
- Automation emails don't appear on the settings page. Emails sent by automations follow the automation's own recipient and delivery rules. Toggling a related notification off won't stop an automation email.
If none of the above apply, check your email provider's spam folder, your browser's push permissions, and the email digest setting before reporting an issue.
