Notification settings
Each team member controls their own notification preferences from Settings → Notifications. Preferences are per-person, changing yours doesn't affect anyone else on the team. Four delivery channels are available: browser, desktop app, mobile, and email notifications.
Delivery channels
Four global toggles sit at the top of the notification settings page. All four are on by default:
- Browser notifications, receive notifications in your browser when you are online.
- Desktop app notifications, native notifications from the Plutio desktop app.
- Mobile app notifications, push notifications on your mobile device.
- Email notifications, enables or disables all notification emails. When enabled, a dropdown lets you choose always, even when online (the default) or only when offline (not active in the workspace).
These global toggles override per-event settings. If email notifications are off globally, no individual event type sends emails regardless of its own toggle.
Email digest
Below the delivery toggles is the daily digest section. The digest is a summary of your overdue tasks and tasks due today, delivered to your email. Other notifications, including comments, messages, and approvals, are not part of this digest. The digest is off by default. One control is available:
- Send daily at, the hour of day the digest email is sent. Defaults to 10:00 in your local time.
Reminders
The reminders section covers task and calendar event reminders. Reminders are on by default:
- Event and task reminders, tasks with a specific time are reminded at that time. The time setting below applies to tasks with a date only (no specific time set).
- Send daily at, for tasks with a due date but no specific time, this sets the hour of day reminders are sent. Defaults to 10:00 in your local time.
Tasks
The Tasks section has these toggles. All are on by default:
- New comment, when someone comments on a task you follow.
- Assigned to me, when someone assigns a task to you.
- Task completed, when a task you follow is completed. Hidden for client roles.
- Mentioned in description, when someone @mentions you in a task description.
- Mentioned in comment, when someone @mentions you in a task comment.
- Created by email, when a task is created via email in your task group. Hidden for client roles.
Projects
The Projects section has these toggles:
- Added to project, when you're added as a project contributor. On by default.
- Project status changed, when a project you contribute to changes status. Off by default.
- Added to conversation, when you're added to a conversation. On by default. In-app bell is suppressed for this event, you'll only get email and push.
- Conversation reply, when someone replies to a conversation you follow. On by default.
- File uploaded, when files are uploaded to a project you contribute to. Off by default.
Inbox
The Inbox section has these toggles:
- New direct message, when you receive a direct message. Visible to everyone, including clients.
- New email, when a new email arrives in your inbox. Hidden for client roles.
- Inbox shared with me, when a Gmail inbox is shared with you. Hidden for client roles.
Invoices
The Invoices section is only visible to non-client roles with invoice creation permissions. Toggles:
- Invoice viewed, when a client opens an invoice you sent. In-app and push only (no email for this event).
- Invoice paid, when a client pays an invoice. Sends across all channels including a forced email regardless of the offline/always setting.
Proposals
The Proposals section is only visible to non-client roles with proposal creation permissions. Toggles:
- Proposal viewed, when a client opens a proposal. In-app and push only (no email).
- Proposal signed, when a client accepts and signs a proposal, or when a client declines. Sends across all channels including email. A signed PDF copy is also emailed to the signer automatically.
Contracts
The Contracts section is only visible to non-client roles with contract creation permissions. Toggles:
- Contract viewed, when a client opens a contract. In-app and push only (no email).
- Contract signed, when a signee signs. Sends across all channels including email. A signed PDF copy is also emailed to the signer.
Forms
The Forms section is only visible to non-client roles with form creation permissions. One toggle is available:
- Form viewed, when someone opens a public form. In-app and push only (no email).
Form submission notifications are configured per form in the form's own settings, not on this page. When a response comes in, email and push delivery depend on the form-level notification configuration.
Contacts
The Contacts section is only visible to roles that can add people to the workspace. Toggles:
- Invite by me accepted, when someone you invited joins the workspace.
- Invite by others accepted, when someone invited by another team member joins the workspace. Only visible to Owners and Co-owners.
Events that always send
A small set of transactional events send email (and sometimes push) regardless of your per-event toggle, because the information is time-sensitive or legally required:
- Invoice paid, always emails the invoice creator when a client pays.
- Signed PDF copy, when a proposal or contract is signed, a signed PDF is emailed to the signer regardless of their preferences.
- Payment receipt, receipts are emailed to the client and the invoice creator when a payment is recorded.
- Subscription payment failed, clients always receive an email when a recurring invoice auto-charge fails.
- Plutio billing payment failed, the workspace owner always receives an email and push when Plutio can't charge the card on file.
- Invite accepted, the inviter and workspace owners/co-owners always receive an email and push when a new team member joins.
- Calendar event invitations and RSVPs, invitees and organisers always receive email and push for new invites, updates, cancellations, and responses.
Turning off any of the toggles above in your preferences won't block these events.
Settings configured elsewhere
Some notification-related settings live outside this page:
- Scheduler notifications, booking confirmation, cancellation, and reminder notifications for both the organiser and the booker are configured per scheduler inside the scheduler's own settings. There are no scheduler toggles on the notification preferences page.
- Form submission notifications, email and push delivery for form responses are configured per form in the form's own settings, not on this page.
- Task reminder defaults, the default reminder setting for tasks is configured in Settings → Tasks.
- Automation emails, automations can send custom emails as an action. Recipients and content are defined in the automation setup.
Per-member preferences
Every team member configures their own preferences independently. A workspace owner might enable email for every event type, while a contractor might turn off everything except task assignments and mentions. Changes take effect immediately.
Client roles see a reduced set of toggles, some task, invoice, proposal, contract, and form settings are hidden because those features are accessed differently by clients.
If a notification didn't arrive
If a notification you expected didn't show up, the most common cause isn't a broken toggle, it's one of the silent rules in how Plutio routes notifications.
