Notification settings
Each team member controls their own notification preferences from Settings → Notifications. Preferences are per-person — changing yours doesn't affect anyone else on the team. Three delivery channels are available: in-app, email, and push notifications.
Delivery channels
Four global toggles sit at the top of the notification settings page:
- Web push — browser push notifications on desktop.
- Desktop push — push notifications in the native desktop app. A download link is included next to the toggle.
- Mobile push — push notifications on the Plutio mobile app. Requires notification permissions on your device.
- Email notifications — enables or disables all notification emails. When enabled, a dropdown lets you choose always or only when offline (not active in the workspace).
These global toggles override per-event settings. If email notifications are off globally, no individual event type sends emails regardless of its own toggle.
Email digest
Below the delivery toggles is the digest section. The digest bundles lower-priority notifications into a single scheduled email instead of sending them individually. Two controls are available:
- Digest time — the hour of day the digest email is sent.
- Enabled toggle — turns the digest on or off.
Reminders
The reminders section controls due date and overdue reminders for tasks and calendar events:
- Date-only reminder time — for tasks with a due date but no specific time, this sets the hour of day reminders fire.
- Reminders enabled — turns all reminders (due date, start date, overdue) on or off.
The reminder interval and offset for tasks with specific times is configured separately in Settings → Tasks.
Tasks
The Tasks section has these toggles:
- New comment — fires when someone comments on a task you're involved in. Controls whether you receive batched email summaries of task comments.
- Assigned to me — fires when someone assigns a task to you.
- Delegated completed — fires when a task you assigned to someone else (or a task you follow) is marked complete. All assignees and followers receive this notification — so if a client is assigned to a task, the client automatically gets a completion notification without needing an automation. This toggle is hidden for client roles.
- Mentioned in description — fires when someone @mentions you in a task description.
- Mentioned in comment — fires when someone @mentions you in a task comment.
- Created by email — fires when a task is created from an inbound email. This toggle is hidden for client roles.
Projects
The Projects section has these toggles:
- Added to project — fires when you're added as a project contributor.
- Project status changed — fires when a project's status changes. This toggle is off by default.
- Added to conversation — fires when you're added to a new or existing conversation thread.
- New reply — fires when a new message is posted in a conversation you're part of.
- File uploaded — fires when a file is uploaded to a project you're a member of.
Conversation toggles sit in the Projects section because conversations are typically tied to projects. Email delivery for conversations has an extra layer of control: each conversation can be set to all messages, mentions only, or none individually. See email notifications for conversations for details.
Inbox
The Inbox section has these toggles:
- New direct message — fires when a new direct message or conversation reply arrives.
- New email — fires when a new email arrives in a shared inbox group. This toggle is only visible to non-client roles.
- Gmail shared with me — fires when a Gmail inbox is shared with you or unshared. Only visible to non-client roles.
Invoices
The Invoices section is only visible to non-client roles with invoice creation permissions. Toggles:
- Invoice viewed — fires when a client opens an invoice you sent. In-app and push only (no email for this event).
- Invoice paid — fires when a client pays an invoice. Sends across all channels including a forced email regardless of the offline/always setting.
Proposals
The Proposals section is only visible to non-client roles with proposal creation permissions. Toggles:
- Proposal viewed — fires when a client opens a proposal. In-app and push only (no email).
- Proposal signed — fires when a client accepts and signs a proposal, or when a client declines. Sends across all channels including email. A signed PDF copy is also emailed to the signer automatically.
Contracts
The Contracts section is only visible to non-client roles with contract creation permissions. Toggles:
- Contract viewed — fires when a client opens a contract. In-app and push only (no email).
- Contract signed — fires when a signee signs. Sends across all channels including email. A signed PDF copy is also emailed to the signer.
Forms
The Forms section is only visible to non-client roles with form creation permissions. One toggle is available:
- Form viewed — fires when someone opens a public form. In-app and push only (no email).
Form submission notifications are configured per form in the form's own settings, not on this page. When a response comes in, email and push delivery depend on the form-level notification configuration.
Contacts
The Contacts section is visible to people with permission to add team members. Toggles:
- Invite by me accepted — fires when someone you personally invited accepts and joins the workspace.
- Invite by others accepted — fires when someone invited by another team member accepts. This toggle is only visible to workspace owners and co-owners.
Settings configured elsewhere
Some notification-related settings live outside this page:
- Booking page notifications — booking confirmation, cancellation, and reminder notifications for both the organiser and the booker are configured per booking page inside the booking page's own settings. There are no scheduler toggles on the notification preferences page.
- Task reminder timing — the reminder offset (how far before a due date/time the reminder fires) is configured in Settings → Tasks.
- Automation emails — automations can send custom emails as an action. Recipients and content are defined in the automation setup.
Per-member preferences
Every team member configures their own preferences independently. A workspace owner might enable email for every event type, while a contractor might turn off everything except task assignments and mentions. Changes take effect immediately.
Client roles see a reduced set of toggles — some task, invoice, proposal, contract, and form settings are hidden because those features are accessed differently by clients.
