Your first proposal
This walkthrough takes you from creating a proposal to getting it signed and converting it into an invoice, step by step.
Creating the proposal
- Click Proposals in the main menu.
- Click the + button to create a new proposal.
- Enter a title for the proposal.
- Select the client you're sending it to.
- Optionally set an issue date and expiry date. Once the expiry date passes, the proposal flips to Overdue so you can see at a glance which ones haven't been signed on time. Clients can still sign an overdue proposal unless you cancel it manually.
- Optionally choose a template to start from.
- Click Create.
You'll land in the proposal editor with four default blocks already in place: an intro block, a content block, an items block (pricing), and a signature block.
Building the proposal content
The editor works with drag-and-drop blocks. You can add and rearrange:
- Content - rich text for descriptions, scope of work, and terms.
- Items - a pricing table with line items, quantities, rates, and totals.
- Image - photos, mockups, or diagrams.
- Video - embedded video content.
- HTML - custom HTML for anything the other blocks don't cover.
- Signature - where the client signs. This block is added by default and can't be removed.
Click any block to edit it. Drag blocks to reorder them.
Setting up auto-invoice
If you want an invoice to be created automatically when the client approves:
- In the proposal editor, click the Invoice tab in the details panel on the right.
- Toggle Auto create invoice on.
- Choose the invoice type (standard or split payments).
- Optionally select an invoice template.
When the client signs and approves the proposal, the invoice is generated from the pricing in your line items block.
Setting up auto-project
If you want a project to be created automatically when the client approves:
- In the proposal editor, open the details panel on the right.
- Under the Automation section, check Auto create project.
- Select a project template to use.
- Optionally check Auto invite client to send the client a workspace invitation when the proposal is approved. See Inviting clients for the full picture of how this fits with manual invites.
Sending the proposal
- Click the Send button in the editor.
- An email composer opens with the client's email pre-filled.
- Review the subject line and message, then send.
The client receives an email with a link to view the proposal. If you've added a messenger widget, they can ask questions while reviewing.
Client signs and everything follows
When the client opens the proposal link, they review the content, scroll to the signature block, and sign. Once they approve:
- The proposal status changes to Accepted.
- If auto-invoice is on, an invoice is created from the line items.
- If auto-project is on, a project is created from the template and the client is invited.
- If a contract is linked with combined signature, signing the proposal also signs the contract.
